Contracts Assistant
Bishop & Company is seeking a Contracts Assistant for a Construction Development company in Honolulu, HI. As a Contracts Assistant, you will be the rapid-response, precision-admin partner to the Contract and Proposal Manager.
Duties: - Manage the estimating inbox, build project records, format fee-proposal templates, and update contract phases with zero errors.
- Maintain airtight file control and proactive deadline reminders, freeing the CPM to strategize and empower the company to win and execute mission-critical projects
- Create project records and folders and enter initial data accurately, prepare fee proposal templates, Revised Fee Proposal & Mod Setup and Support, Update contract-related phases, Prepare mod fee proposal templates
- Provide general contract support: Maintain up-to-date project phase information throughout the lifecycle for each project contract through closeout, Invoice Support, assist with preparing invoice schedules and verifying billing details, Prepare and format project invoices
- Provide general project support: Perform project data audits as requested, prepare project-related administrative forms as requested (e.g., AHA, APP, etc.), Project Travel Support, assist with coordination and planning of project-related travel, assist travel form(s) completion and audits as requested, Project Closeout Support, Assist CPM with project closeout tasks and record updates
- Other Miscellaneous Projects & Tasks, Phone Main Line Reception, Answer calls to the company phone main line and route calls accordingly, Return all missed calls and route voicemail
Qualifications: - Prior administrative experience in contracts, legal administration, or A/E/C environment is preferred, but not required; Demonstrates proficiency and accuracy in data entry, record-keeping, and electronic filing systems
- Education and Certifications: Associate degree or equivalent coursework in Business, Administration, or Contracts
- Skills/Knowledge: Highly organized, detail-oriented professional who supports teams and manages information flow in a dynamic environment; Document control and information management skills; Communicate clearly and professionally; Can multitask effectively and adapt to changing priorities; Active collaboration across departments; Strong interpersonal and organizational skills
- Proficient in using computers and common office software, including Microsoft Word, Excel, PDF
- Familiarity with project collaboration and document management applications such as Google Workspace, Microsoft SharePoint, etc.
Additional Information: - Job Type: Temp-hire
- Travel : Occasional local travel is required for client meetings, project site visits, industry events, and other team-support activities; Employees must maintain a valid driver’s license, current vehicle registration, and automobile insurance that comply with company policy
- Pay : $25/hr
